A HubSpot NDA workflow with NonDisclosures sends the right agreement when a deal moves to the stage you pick, such as Technical evaluation. Contact and company fields fill in the parties, the counterparty signs in the browser, and the status returns to the deal.

In short

Connect HubSpot on the Business or Company plan, choose a deal stage as the trigger, assign an NDA type and template per pipeline, and map HubSpot properties to the parties. NonDisclosures checks its register for an existing NDA before sending, writes the status back to the deal, and on Company can attach the signed PDF to the record through webhooks and the API.

01

Why sales teams send NDAs from the CRM

Most NDAs in a sales cycle are needed at a predictable moment. The prospect asks for a security questionnaire, a sandbox, a look at the roadmap or a technical deep dive, and someone on the deal team realizes there is no agreement in place. The rep then opens a shared drive, copies an old file, retypes the company name and emails a PDF, and the deal waits while the paper goes back and forth.

Tying the NDA to a deal stage removes that delay. When the deal reaches the stage where confidential material starts to flow, the agreement goes out with the right template and the right parties, and the rep keeps working in HubSpot. For the wider sales playbook, see NDA for sales.

02

How the HubSpot NDA setup works

Setup happens in the Integrations area of your NonDisclosures workspace. An admin connects the HubSpot account once, and from then on the rules apply to every deal in the pipelines you select.

  1. Connect. Authorize NonDisclosures to read deals, contacts and companies and to update deal properties in your HubSpot account.
  2. Choose the trigger stage. Pick the pipeline and the stage that should send an NDA, for example Technical evaluation or Security review. Each pipeline can have its own stage.
  3. Choose the template. Assign an NDA type and a team template to the pipeline, such as a mutual NDA for partnership deals and a one-way NDA for standard sales demos. Locked clauses stay locked.
  4. Map fields. Tell NonDisclosures which HubSpot properties hold the counterparty legal name, the signer name, the signer email and the purpose of the discussions.
  5. Test. Move a test deal into the trigger stage, confirm the draft fills correctly, then switch the rule on for live deals.
03

What maps from HubSpot into the NDA

The NDA is generated from your template, not from free text in the CRM, so only the party details and a few settings come from HubSpot. Everything else follows the clause library your team approved.

04

Avoiding duplicate NDAs with the same company

A company can sit in several deals at once, and nobody wants to send a second NDA to a counterparty that signed one last quarter. Before sending, NonDisclosures searches its register for an active NDA with the same counterparty. If one exists and is still within its term, the rule skips the send and records the existing agreement on the deal instead.

If the earlier NDA has expired or is about to expire, a new one goes out. Expiry is calculated from the term clause, and reminders arrive 60, 30 and 7 days before the end date. Learn more about contract tracking software for this part of the workflow.

05

What comes back to the deal record

Reps should not need to leave HubSpot to know whether the paper is done. The integration writes the current status to a deal property you choose, and updates it as the agreement moves through draft, sent, viewed, partially signed, signed, declined, expired or voided.

On the Company plan, API access and webhooks go further. The nda.signed event can attach the signed PDF, with its certificate page and audit trail, to the HubSpot record, or trigger your own automation. For a step by step walkthrough of the sales side, read how to send NDAs from HubSpot automatically.

  • Business plan. Stage trigger, template per pipeline, field mapping, register check and status written back to the deal.
  • Company plan. Everything above plus API and webhooks, so the signed PDF can be written back to the record and other systems can react to signature events.
06

What this integration is and is not

NonDisclosures connects to HubSpot through HubSpot's standard authorization and APIs. It is not an official HubSpot product and does not claim a partnership, marketplace listing or certification from HubSpot. The NDA text, signatures, audit trail and register live in NonDisclosures, and HubSpot receives status and, on Company, the signed file.

Questions and answers

Which deal stage should trigger the NDA?

Pick the first stage at which confidential material starts to flow. For many B2B teams that is Technical evaluation, Security review or a stage where a sandbox or roadmap is shared. Each pipeline can use a different stage.

Can different pipelines use different NDA templates?

Yes. Each pipeline gets its own NDA type and team template, so partnership deals can send a mutual NDA while standard sales deals send a one-way NDA.

What happens if the company already signed an NDA with us?

NonDisclosures checks its register before sending. If an active NDA with that counterparty exists, the rule skips the send and records the existing agreement on the deal.

Does the prospect need a NonDisclosures account to sign?

No. The signer receives a personal link by email, valid for 30 days, and signs in the browser with a typed or drawn signature. The signed PDF with a certificate page goes to all parties.

Which plan includes the HubSpot integration?

The HubSpot integration is part of the Business and Company plans. Writing the signed PDF back to the record through webhooks and the API requires Company. See pricing for limits.

Is NonDisclosures an official HubSpot partner?

No. NonDisclosures connects through HubSpot's standard APIs and does not claim any partnership, listing or certification from HubSpot.

Is the NDA sent from HubSpot legal advice?

No. NonDisclosures is a software tool, not a law firm. Templates and AI analysis are not legal advice, and laws differ by state, so have an attorney review agreements that matter.
