A Salesforce NDA workflow with NonDisclosures sends the approved agreement when an opportunity reaches the stage you choose. Account and contact fields fill in the parties, the signer signs in the browser, and the signing status is written back to the opportunity.

In short
On the Business or Company plan, connect Salesforce, pick an opportunity stage as the trigger, assign an NDA type and template, and map account and contact fields to the parties. NonDisclosures checks its register for an existing NDA first, updates the status on the opportunity, and on Company can write the signed PDF back to the record through webhooks and the API.
The NDA belongs inside the opportunity
In a Salesforce-run sales organization, the opportunity is the single place where the deal team, sales engineering, legal and leadership look for the state of a deal. When the NDA lives in someone's inbox instead, the questions start: did the prospect sign, which version did they get, does it cover the pilot we are about to run. Sending the agreement from an opportunity stage keeps the answer on the record everyone already uses.
The trigger also enforces timing. Confidential material such as pricing models, architecture diagrams or roadmap slides should not leave the building before an NDA is signed, and a stage rule makes the agreement part of the process rather than a step someone remembers. For the full sales workflow, see NDA for sales.
Setting up the Salesforce NDA rule
An admin of your NonDisclosures workspace connects Salesforce once in the Integrations area. Rules then run on every opportunity that matches.
- Connect. Authorize NonDisclosures to read opportunities, accounts and contacts and to update the opportunity fields you choose.
- Choose the trigger stage. Select the opportunity stage that should send the NDA, such as Discovery complete, Technical evaluation or Proposal.
- Choose the template. Assign an NDA type and a team template. Use a one-way NDA when only you disclose and a mutual NDA when the prospect will share its systems or data too.
- Map fields. Point the counterparty name to the account, the signer to an opportunity contact role, and the purpose to the opportunity name or a custom field.
- Test. Move a test opportunity into the trigger stage, check the generated draft, then enable the rule for live opportunities.
Account and contact mapping
Only the party details and the purpose come from Salesforce. The clauses, the term and the governing law follow the template your team approved, so a rep cannot change protected wording by editing a CRM field.
| NDA field | Typical Salesforce source | Tip |
|---|---|---|
| Counterparty legal name | Account name or a legal name field | Use a legal name field if account names are trade names |
| Signer name and email | Contact with a chosen contact role | For example the Decision Maker or Economic Buyer role |
| Purpose | Opportunity name or a custom field | Keep it specific, such as evaluation of the platform |
| Your signer | Opportunity owner or a fixed signatory | Set per rule |
| Term and governing law | Template defaults | Delaware by default, any US state available |
One NDA per counterparty, not one per opportunity
Large accounts open many opportunities, and each one reaching the trigger stage should not mean a fresh NDA. Before sending, NonDisclosures searches its register by counterparty. If a signed NDA with that account is still within its term, no new agreement goes out and the existing one is recorded on the opportunity.
When the earlier agreement has expired, or the purpose in the template does not cover the new deal, a new NDA is sent. Expiry dates come from the term clause, and reminders arrive 60, 30 and 7 days before the end. The register and its "Do we have an NDA with X?" lookup are described on the contract tracking software page.
Status on the opportunity and the signed PDF
The integration writes the current NDA status to an opportunity field you choose and keeps it current through draft, sent, viewed, partially signed, signed, declined, expired and voided. Reps and managers can filter reports and list views on that field without opening NonDisclosures.
On the Company plan, the API and webhooks add a write-back of the signed PDF to the Salesforce record when the nda.signed event fires. The PDF includes a certificate page with timestamps, IP addresses, user agent and a document hash. The same event can unlock a data room folder or start any other automation you run.

An honest note about the connection
NonDisclosures uses Salesforce's standard authorization and APIs. It is not a Salesforce product, and it does not claim a partnership, marketplace listing or certification from Salesforce. Agreement text, signatures and the audit trail are stored in NonDisclosures. NonDisclosures is a software tool, not a law firm, and templates are not legal advice.
Questions and answers
Which opportunity stage should send the NDA?
Choose the first stage where you or the prospect share confidential material, such as Technical evaluation or the stage where a pilot is scoped.
How does NonDisclosures pick the signer?
You map the signer to a contact with a specific contact role on the opportunity, for example Decision Maker. The signer receives a personal link by email that is valid for 30 days.
Will an account with several opportunities receive several NDAs?
No, as long as an earlier NDA is still within its term. NonDisclosures checks its register by counterparty before sending and records the existing agreement instead.
Can sales reps change the NDA wording from Salesforce?
No. Clauses come from your team template, and locked clauses stay locked. Changing a protected clause inside NonDisclosures triggers your approval rule.
Which plan includes the Salesforce integration?
Business and Company include the Salesforce integration. Writing the signed PDF back to the record through webhooks and the API is part of Company. See pricing.
Is NonDisclosures listed in the Salesforce marketplace?
No. NonDisclosures connects through Salesforce's standard APIs and does not claim a listing, partnership or certification from Salesforce.
Is an NDA sent this way legal advice?
No. NonDisclosures is a software tool, not a law firm. Templates and AI analysis are not legal advice, so have an attorney review agreements that matter.
