A Workable NDA workflow with NonDisclosures sends a confidentiality agreement when a candidate reaches the stage you choose in a job pipeline, such as an assessment, the offer or the hire. The candidate's details fill the template and the candidate signs in the browser without an account.

In short

On the Business or Company plan, connect Workable, pick the stage that triggers an agreement, assign a candidate, employee or contractor NDA template, map candidate and job fields, and test. Every agreement is tracked in the NonDisclosures register, and on Company webhooks and the API can write the signed PDF back to the candidate in Workable.

01

Built for teams that hire without a big HR department

Workable is common at small and mid-sized companies where one recruiter or an office manager runs hiring for every team. Those people rarely have time to keep a library of agreements current, and the NDA tends to be whatever file was used last time. Connecting the agreement to a Workable stage puts the approved template in front of every candidate who needs it, without anyone choosing clauses by hand.

The same setup covers contractors. Many smaller companies hire freelancers through the same pipeline, and a contractor NDA is a different document from an employee NDA, so each job can send the right one.

02

Matching agreements to hiring stages

Workable stageAgreementWhy at this point
Assessment with real data, code or plansOne-way NDAThe candidate sees confidential material before any employment contract exists

Skip the NDA for ordinary screening calls. Ask for a signature only where you share something confidential.

03

Setting up the Workable NDA rule

  1. Connect. An admin authorizes NonDisclosures to read candidates and jobs in your Workable account.
  2. Choose the trigger stage. Pick the stage in the job pipeline that should send an agreement.
  3. Choose the template. Assign the candidate one-way NDA, the employee NDA or the contractor NDA. Team templates keep protected clauses locked, and changing one needs approval.
  4. Map fields. Map candidate name and email to the signer, the job title to the role or purpose, and choose your company signatory.
  5. Test. Move a test candidate into the stage, check the agreement, then switch the rule on.
04

What the employee and contractor templates include

The employee NDA and the contractor NDA are generated from a fixed clause library. Both define confidential information, list the standard exclusions, require reasonable care, and require return or destruction of materials when the relationship ends. Both include a Protected Activity section so the agreement does not restrict reporting to agencies such as the SEC or NLRB, the immunity notice required by the Defend Trade Secrets Act, and a local law clause that defers to state rules on employee covenants.

You choose the term, a separate confidentiality period after the term, the governing state, and whether to add an optional 12-month non-solicitation clause. Restrictive covenants are regulated differently in each state, and California Business and Professions Code 16600 voids most non-competes, so keep NDAs focused on confidentiality.

05

Signing and tracking without chasing

The candidate receives a personal link by email, valid for 30 days, and signs with a typed or drawn signature. The audit trail captures timestamps, IP address, user agent and a document hash, and the signed PDF with a certificate page is emailed to everyone who signed.

In NonDisclosures you see each agreement as sent, viewed, signed, declined or expired, with a per-signer timeline and nudges for unsigned signers. The rule checks the register before sending so a candidate who already signed is not asked twice. On the Company plan, webhooks and the API can write the signed PDF back to the candidate in Workable when the nda.signed event fires. For the HR process around these agreements, see employee confidentiality agreement.

Questions and answers

Can Workable send an NDA automatically?

Yes. With the integration connected, moving a candidate into the stage you chose sends the assigned NDA template filled with the candidate's details.

Do candidates need to sign an NDA for an assessment?

Only if the assessment uses confidential material such as real customer data, private code or unreleased plans. Otherwise it adds friction without real protection.

Can freelancers hired through Workable get a contractor NDA?

Yes. Assign the contractor NDA template to the rule for contract roles, and the employee NDA to rules for employee roles.

How does a candidate sign?

Through a personal link sent by email that stays valid for 30 days. The candidate signs in the browser with a typed or drawn signature and does not need an account.

Which plan includes the Workable integration?

Business and Company. Writing the signed PDF back to the candidate record through webhooks and the API requires Company. See pricing.

Is NonDisclosures an official Workable partner?

No. It connects through Workable's standard APIs and does not claim any partnership, listing or certification from Workable.

Is this NDA legal advice?

No. NonDisclosures is a software tool, not a law firm. Templates are general information about US practice, and state law differs, so have an attorney review your agreements.
